Steps to Complete Background Check (Live Scan Fingerprinting)

As part of your College Corps onboarding, you must complete a Live Scan background check. Processing can take 4–6 weeks, so please complete your appointment as soon as possible.

What is Live Scan?

Live Scan is a digital fingerprinting process that sends your fingerprints to the Department of Justice (DOJ) and the FBI to run a background check.

Before you schedule your fingerprinting appointment, you must first complete the Background Check Authorization Form via DocuSign. This form notifies you that a criminal history check will be conducted as part of your onboarding. 

You’ll also be asked to upload a valid government-issued photo ID.By completing this form, you acknowledge that:

  • San Francisco State University will request a criminal history check for your participation in College Corps.
  • Selection is contingent upon the review and clearance of this background check.
  • You will be required to upload a valid government-issued photo ID (such as a driver’s license, state ID, or passport) to verify your identity.

👉 Please complete it as soon as possible to avoid delays in scheduling your Live Scan appointment.

After submitting your Background Check Authorization Form, schedule your Live Scan (fingerprinting) appointment. Most Fellows will complete Live Scan at SF State UPD to avoid out-of-pocket costs. If you are unable to travel to campus, you may request approval to use an external Live Scan vendor by emailing collegecorps@sfsu.edu.

🔷 Option 1 (Preferred): SF State UPD – No Out-of-Pocket Cost

Fellows who are able to travel to SF State should complete their Live Scan at the University Police Department (UPD). This is the preferred option, as there is no out-of-pocket cost to you — the charge is billed directly to ICCE.

📝 How to Fill Out the Appointment Form

As you complete the UPD appointment form, please use the following information:

  • Select “Livescan” under the fingerprinting options
  • When asked if you're being fingerprinted for an SFSU department, select: Yes
  • Specify department as: College Corps (ORSP–ICCE)
  • When asked about payment, select: Department Recharge
  • Specify recharge contact as: Meagan Prasad, College Corps (ORSP–ICCE)

📄 What to Bring to Your Appointment

  • A printed and completed Request for Live Scan Service – College Corps form
    • Only complete the yellow highlighted fields
    • Leave all other sections blank
  • A valid government-issued photo ID (e.g., driver’s license, state ID, or passport)

🔷 Option 2: External Vendor (Out-of-Pocket Payment)

Who should use this option?

If you're unable to travel to SF State — for example, if you live outside the Bay Area or have transportation barriers — you can request to complete your Live Scan with an external vendor.

Just be sure to let College Corps staff know ahead of time so we can approve your request and make sure you're set up for reimbursement.

Use the California Department of Justice website to locate a certified Live Scan provider near you:

We recommend calling in advance or checking the provider’s website to confirm:

  • Whether they are currently offering Live Scan services
  • Their accepted forms of payment
  • The total processing cost (Live Scan fees + DOJ/FBI service fees)
  • What documentation you’ll need to bring

    • Fill out only the yellow-highlighted sections
    • Leave all other fields blank — they will be completed by the vendor
    • You may type or handwrite the yellow fields
  • A valid government-issued photo ID (driver’s license, state ID, or passport)
    • If you do not have a current driver’s license, leave that section blank and ask the technician for guidance

💸 Estimated Costs

  • The background checks required are for both the Department of Justice (DOJ) and FBI
  • These service levels have already been pre-selected on your form
  • External vendors charge their own processing fees in addition to DOJ/FBI fees — total costs may be up to $100
  • College Corps/ICCE does not reimburse out-of-pocket Live Scan expenses unless prior approval has been granted. Please inform College Corps staff that you are choosing this option. 

✅ After Your Appointment

  • Request a receipt or confirmation form from the Live Scan technician
  • Submit a scanned copy or clear photo of your receipt to your College Corps Coordinator
  • Keep a copy for your own records

All Fellows must use the Request for Live Scan Service – College Corps PDF form to complete their fingerprinting appointment. This form must be printed, completed, and brought with you to your Live Scan appointment — whether you are completing it at SF State UPD or with an approved external vendor.

    • You may complete the highlighted fields by hand or type them — whichever you prefer.
  • The required background check levels (DOJ and FBI) have already been selected for you.

🔐 Important:

  • You must bring the completed form with you to your Live Scan appointment.
  • Failure to bring the correct form may result in a delay or cancellation of your appointment.
  • If you do not have a valid government-issued photo ID, leave that section blank and ask the technician for guidance at your appointment

At the end of your appointment, the Live Scan technician will give you a completed copy of your Request for Live Scan Service form. This serves as your receipt and proof of completion.

What to do next:

🕒 What happens with your results:

  • Your fingerprints are submitted to the California Department of Justice (DOJ) and FBI for processing.
  • Results are sent directly to SF State University Police Department (UPD).
  • Once cleared, UPD notifies the College Corps team, and ICCE will contact you to confirm that you are cleared to begin your service.

🚫 Please do not contact UPD directly — they will not release clearance updates to students.

Live Scan processing times can vary. Results may take a few days to several weeks, and ICCE has no control over the timeline.

Example of COMPLETED LIVESCAN to send to College Corps Staff

If you completed your Live Scan at an external vendor and paid out of pocket, you may be eligible for reimbursement only if you received prior approval from College Corps staff.

📄 What You Need to Submit:

To request reimbursement, you must email the following items to collegecorps@sfsu.edu:

  1. ✅ A copy of your itemized receipt from the Live Scan vendor
    • The receipt must clearly list the services provided (e.g., DOJ + FBI Live Scan) and the cost of each
    • A credit card slip or total-only receipt is not sufficient
  2. Proof of payment, such as one of the following:
    • Credit card receipt showing payment
    • Bank statement (with other info redacted if needed)
    • Copy of the front and back of a cancelled check if paid by check
  3. ✅ A scanned copy or clear photo of your Live Scan completion form or receipt from the technician (proof that the service was completed)

College Corps staff will use this information to initiate your reimbursement request.

🕒 Please allow up to 4–6 weeks for reimbursement processing through SF State’s system.

Q: I already completed a Live Scan through another SF State program (e.g., Jumpstart). Do I need to do it again for College Corps? I used SF State UPD for the original scan.
A: Yes. Even if you completed a Live Scan for another SF State program and used the University Police Department (UPD), results cannot be shared across programs. Per federal policy, Live Scan results are sent directly to the requesting organization (e.g., Jumpstart), and UPD does not keep a copy. For College Corps, we are required by federal and state funders to receive the results directly from the Department of Justice (DOJ) and FBI through our own request process.

Q: I did a Live Scan for a nonprofit (e.g., SF Ed Fund) and was cleared. Do I need to do another one for College Corps?
A: Yes. Even if you were recently fingerprinted and cleared by another organization, Live Scan results cannot be transferred between organizations. College Corps must initiate a new Live Scan request to meet federal compliance requirements.
