Community Work-Study Program
I-9 Verification and Hire Process ➡️
Congratulations on your recent employment offer with ICCE's Community Work-Study program or ICCE student support position. There are several hiring steps that students need to complete to be officially employed. Below provides you with the steps, information, and deadlines to get you started.
I-9 Verification + Hire Process
Remember, NO STUDENT MAY BEGIN WORK until after their I-9 verification has been completed.
You will send the following information to the following email address: Student_i-9@sfsu.edu
-
Indicate that you have been offered a position with ICCE and need to now do your I-9 verification
-
Your full and complete first name and last name as it appears on your identification
-
SF State student email address (no personal email address, for example, @gmail.com)
-
Your SF State student ID number
Deadline: The sooner you start this process, the sooner you can start working.
*The I-9 Verification process is coordinated by SF State Campus Safety (University Police Department (UPD))
STEP ②: An I-9 Tracker profile will be created by the I-9 Verification Specialist from Campus Safety
-
An automated message from the I-9 Tracker will be sent to your SF State student email.
-
Please check your spam or junk folder if you do not see it in your SF State student email inbox.
This second email sent to your SF State student email address will include what documents are acceptable to verify your identity and employment eligibility, and where to go in person to present your documents on campus:
-
You will need to present one or more acceptable documents that are listed (see I-9 Acceptable Documents button). You must present original documents; scans or photos of your documents are not accepted.
- Students can verify their identification and supporting documents in person at Campus Safety (University Police Department (UPD)) located on-campus at 100 North State Drive, San Francisco, California, 94132. (See link to map below).
Drop-in hours are available Monday through Thursday (M/T/W/Th) from 8:30 AM to 3:00 PM.
You can also make an appointment for I-9 verification online by going to the following link and selecting the appointment calendar.
Now that you completed your I-9 form and you have your documents verified with Campus Safety (UPD) do the following:
-
Inform ICCE (Jill Russell: jrussell@sfsu.edu) that you completed your I-9 form and that documents were verified. (This is an important step so ICCE/Jill will know that we can move to the next step in your hiring process).
-
ICCE (Jill) will then send you via DocuSign your required payroll packet. Please review and complete the following documents in your SF State DocuSign account.*
-
W-9 form
-
CSU Form SSA-1945 - Information about Social Security
-
Affordable Care Act (ACA) Form
-
CANRA Form (Child Abuse and Neglect Reporting Act)
-
*All SF State students have an SF State DocuSign account.
Once you complete your DocuSign payroll packet, the final step is that ICCE (Jill) create your E-trac (this is the University's version of an electronic timesheet).
You are now officially hired! Welcome to the team!
